08 — Terms & Policies

EGYPT LATIN FESTIVAL 2026 — TERMS & POLICIES

1. PAYMENT

Booking is confirmed only after payment of the full amount or the required deposit.

For all existing installment bookings, the remaining balance must be paid in full no later than 10 October 2026.

Starting from 1 October 2026, all new reservations must be paid in full at the time of booking.

Prices may change until payment is completed and the booking is confirmed.

2. CANCELLATION & REFUNDS

Room reservations are non-refundable.

Ticket transfers are allowed only with prior approval from the organizer.

Payments are non-refundable unless otherwise stated or approved by the organizer.

3. EVENT CHANGES

The organizer reserves the right to modify the event schedule, activities, workshops, or artist lineup when necessary.

No refunds will be issued due to changes in the schedule, activities, or artist lineup.

In the event of circumstances beyond the organizer's reasonable control, including force majeure, the organizer reserves the right to make necessary changes to the event.

4. ACCOMMODATION

Rooms are assigned based on availability.

Specific roommates cannot be guaranteed unless confirmed in advance by the organizer.

Guests are responsible for any damages caused to the room, hotel property, or facilities during their stay.

The festival guarantees only the reserved room type and view category confirmed at the time of booking (e.g., Mountain View, Garden View, Pool View, or Sea View). The organizer does not guarantee a specific room number, floor, building, wing, or exact location within the hotel.

Participants arriving at 12:00 AM (midnight) or earlier on 22 October 2026 will be charged an additional fee equivalent to 100% of the applicable one-night accommodation rate.

Participants arriving after 12:00 AM (midnight) and before 8:00 AM on 22 October 2026 will be charged an additional fee equivalent to 50% of the applicable one-night accommodation rate, regardless of the exact arrival time.

Participants arriving at or after 8:00 AM on 22 October 2026 will not be subject to this early-arrival charge.

Early arrival and early check-in are subject to room availability and must be arranged and confirmed with the organizer in advance.

If a participant reserves a double or triple room but does not have a roommate, and the festival organizers are unable to assign a suitable roommate, the accommodation will be automatically upgraded according to availability:

Triple room → Double room

Double room → Single room

The participant will be responsible for paying the difference in the total room price resulting from the upgrade.

5. TRANSPORTATION

Participants must follow the transportation schedules and instructions provided by the organizer.

No refunds will be issued for missed or cancelled transportation due to the participant's failure to follow the announced schedule.

The organizer is not responsible for transportation delays or disruptions caused by circumstances beyond its control.

6. CODE OF CONDUCT

Respectful behavior is mandatory at all times throughout the festival and within the hotel premises.

The festival has zero tolerance for any form of harassment, discrimination, intimidation, or inappropriate behavior.

Consent is required in all dance interactions and personal interactions.

Violations of the code of conduct may result in removal from the festival and/or hotel premises without refund.

7. MEDIA CONSENT

By attending the festival, participants agree to be photographed, filmed, or otherwise recorded during the event.

Participants grant the organizer permission to use such photographs and recordings for promotional, marketing, social media, and future festival-related purposes.

8. LIABILITY

Participation in the festival and its activities is at the participant's own risk.

The organizer is not responsible for personal injuries, accidents, loss, or theft of personal belongings, except where liability cannot legally be excluded.

Participants are responsible for taking reasonable care of their personal belongings and valuables.

9. TICKET POLICY

Tickets are non-transferable unless a transfer is approved by the organizer in advance.

Wristbands must be worn at all times during the festival and may be required for access to festival activities, parties, workshops, and designated areas.

Tickets may be upgraded only, subject to availability and payment of the applicable price difference.

Downgrades are not permitted. For example, a Full Pass cannot be downgraded to a Party Pass or One-Day Pass.

Once a ticket has been upgraded, it cannot subsequently be downgraded.
